We are seeking a highly organized and motivated Administrator to manage sales coordination and order management tasks. This role involves working closely with various departments to ensure timely delivery and accurate processing of orders, invoices, and general administrative tasks.
Requirements
Duties and Responsibilities:
- Review customer orders for new and second-hand lift trucks, ensuring all relevant information is provided.
- Maintain order intake spreadsheet and liaise with Head Office (HO) as required.
- Coordinate with HO Sales Support, NSW Production, and Workshop to ensure timely delivery of units.
- Process orders with relevant battery and charger details and ensure all paperwork is returned as per process.
- Keep the Projected Invoicing/Forecasting spreadsheet up to date.
- Follow up on overdue units for invoicing.
- Coordinate the transfer of equipment required for invoicing from other branches.
- Process trade-in paperwork and raise Supplier POs for shift battery and crane hire.
- Process credit card payments and undertake reception relief as needed.
- Assist with stocktake data entry and report on variances.
- Maintain and distribute reports as required.
- Provide backup assistance with sales quotations and PTH Sales.
- Monitor and action Loan/Demo reports and expired lease trucks.
- Process job cards and second-hand warranty job cards.
- Follow up on refurbishment quotes and liaise with the workshop.
- Monitor Crown finance deals and flag concerns.
Knowledge, Skills & Experience:
- Demonstrated experience in a manufacturing/sales environment preferred.
- Strong problem-solving and organizational skills.
- Results-oriented with a drive for quality customer service and continuous improvement.
- High energy, motivation, and attention to detail.
- Ability to multi-task in a high-pressure environment.
